Draft. Not yet reviewed by a lawyer; may change before SYNRG opens to the public.
SYNRG is run by NXT Move Inc. This page says what SYNRG collects, who sees it, how long it is kept, and what you can ask us to do. It is written for three kinds of people: those who join a room from a phone, those who are on an event (a people list, a personal page), and those who build in the studio.
Two roles
For the account data of people who build in the studio — your email, sign-in records, activity log, billing — SYNRG is the controller. For everything inside a room or an event — answers, questions, word clouds, people lists, table notes — the organizer is the controller and SYNRG is the processor: we keep it and show it the way the organizer set up, on their instructions, under the data processing terms. Questions about what an organizer asked or does with the answers go to that organizer; their contact is on the event's page.
If you join a room
Joining a room needs no account, no name and no sign-in. What you answer is kept with the room. Unless the organizer has switched on "tie answers to people" for an event and told you so on your page, your answer is stored without your name or email. Anonymous means anonymous to the organizer and the room: nothing identifies you on the screen or in the organizer's downloads. Like any web service, SYNRG's own servers keep ordinary technical logs — IP address, browser and device type, the time of each request — for monitoring and security, for up to 90 days. In principle such logs could be connected to an answer; in practice they are never given to organizers or shown to a room, and SYNRG does not use them to identify who answered except where the law requires it or to protect the service from abuse. A random identifier in your browser keeps your place in a room and your private notes on your own phone; it is not sent to the organizer. What you write in an answer can of course identify you if you put your name or details in it.
If you are on an event
Your name, organization, email and anything the organizer's registration form asks are kept for that event, for its organizers, and are shown to other people at the event only as the organizer's directory setting and your own choices allow. A sign-in link emailed to you keeps you signed in on that device until you sign out or the event's retention period ends. Emails about the event are sent by SYNRG on the organizer's behalf; each carries a way to stop further emails from that event.
If you build in the studio
We keep your email, your sign-in records, the decks, events and themes you make, who you share them with, an activity log of changes, and billing details handled by our payment provider. We email you about your account and about material changes to these terms; marketing email is opt-in.
Who else sees data
Only the services that run SYNRG, under contracts that limit what they may do with it:
| Service | What for | Where |
|---|---|---|
| Supabase | Database, sign-in | United States |
| Netlify | Hosting the pages people open | United States |
| Resend | Sending email | United States |
| Anthropic | AI features (never used to train models) | United States |
| Airtable, Eventbrite, Planning Center, Google | Only when an organizer connects one to their event | Their own terms |
We never sell personal data and never share it for advertising.
Research
What rooms produce — answers, votes, word clouds, questions, what tables write — may be used without names or emails for research into how groups think and decide together, and to improve SYNRG. Anything published is aggregated or anonymised. Organizers may ask for their events to be left out.
How long
Room answers and event data are kept until the organizer deletes them or their account closes, and in any case are deleted 12 months after an event's end date unless the organizer has exported or extended them. Sign-in tokens expire on their own. Technical logs: 90 days. Studio accounts: until closed, then 30 days to export and 90 days for backups to clear.
Children
SYNRG does not knowingly collect personal information from children under 13 (under 16 outside the United States). Joining a room collects none. Where an event signs people in by email or ties answers to people, the organizer is responsible for any consent a parent or guardian must give.
Your rights
You can ask to see, correct or delete personal data about you. For data inside an event, ask the organizer; your event page lets you take yourself off the people list and keep contact details to yourself. For your studio account or anything SYNRG holds as controller, email us. People in Texas, the EU, the UK, Canada and California have specific rights under their laws; we honor them for everyone. We answer within 30 days.
Security
Data is encrypted in transit and at rest. Sign-in links expire. API keys can be revoked. The presenter's control link never reaches a server log. If a breach affects your personal data we will tell you, and the authorities the law requires, without undue delay.
Changes
We will post changes here with a new version date and tell studio account holders by email when a change is material.
